How to prepare an auto-parts RFQ: samples, packaging and shipment requirements

A structured inquiry checklist for quantities, references, sample approval, labels, packing and destination, with a downloadable blank worksheet.

A good RFQ separates the requested part from the commercial and packing requirements. It can reduce repeated clarification, but it does not guarantee a response time, stock availability or a delivery date. Use the blank checklist below as a starting point and keep unconfirmed fields clearly marked.

Use one row per requested part

Enter the complete item/OE reference, quantity and known specification. Include a link to the candidate catalog item and note which reference came from the original part. If several parts are requested, separate them rather than putting all references into one sentence. State the destination and intended use only as far as the information is known.

Define the sample decision before a bulk order

Ask whether the requested sample and quantity are available, what they cost and how they would be shipped. Agree what evidence or checks are needed for approval and how the approved item will be identified. A general request for “good quality” is not an acceptance checklist. Do not assume sample approval confirms every later batch without an agreed check.

Write the packing and label requirements

State individual packing, carton quantities, label content, barcode artwork or mixed-item restrictions if you need them. Request confirmation of carton dimensions and weights for the actual order; do not invent packing data from a product photograph. For destination-specific documents or rules, confirm the requirements with the appropriate logistics or customs professionals.

Ask the quotation to distinguish confirmed and pending items

Specify order quantity, currency preference, destination and target shipment date. Ask which terms, lead time, packing and technical details are confirmed and which are still estimates. Keep the final written requirements with the quotation. Availability, MOQ, price, warranty and shipping arrangements must be confirmed for the specific order; the public catalog does not promise them.
