Ask for carton data before booking freight
A shipment estimate needs order-specific packing facts, not dimensions copied from a product photo.
A mixed order may contain switches, an A/C panel and heater valves, each with different packing needs. Freight planning starts with the approved quantity and the way the actual order will be packed. Catalog images and old carton files are useful references, but neither proves the final shipment volume or weight.
Send one packing-data table
Use one row per SKU with ordered units, units per inner pack, units per master carton, carton count, carton dimensions, net weight, gross weight and mixed-carton rule. Add the measurement unit in every header. Leave unavailable values pending; never use zero to mean unknown.
Separate planning figures from confirmed figures
Mark whether each figure is preliminary, measured from a packed sample, or confirmed for the production order. If quantity or individual packaging changes, request a revised table. Keep the earlier version so the freight forwarder can see what changed rather than silently replacing the numbers.
Reconcile before handing data to the forwarder
Check that packed units by SKU add back to the approved order quantity and that carton counts agree with the packing list draft.
