Keep PI and purchase-order revisions from changing the part
A simple line-level change log protects SKU, OE, quantity and version across documents.
The dangerous revision is not always a large price change. A dropped suffix, a merged OE cell or a changed connector note can turn a familiar-looking line into a different request. Treat every PI or purchase-order revision as a controlled comparison, not as a new file to approve from memory.
Give documents and lines stable identities
Use a document number, revision and date, plus a stable line number for every item. Keep requested OE, proposed SAP SKU, version or connector note, quantity and unit in separate fields. A line number should not change merely because wording is corrected.
Describe the change, not only the new value
For each revision, record old value, new value, reason, who requested it and whether commercial or technical review is pending. Examples include V300A changing to V300B, 15P+4P changing to 15P+2P, or a quantity split. Never hide a proposed substitution inside a description edit.
Recheck totals without losing product identity
After quantity or price edits, recalculate line amounts and the document total in the original currency. That arithmetic check is separate from confirming the correct part. Preserve the prior document and any exchange-rate worksheet rather than overwriting the supplier’s original figures.
Release one clearly approved revision
The version sent to production, packing and receiving should be visibly marked as the approved revision. Withdraw obsolete copies from the active handover while retaining them in history. Open technical questions stay open; a signed commercial document does not automatically answer them.
